Privacy statement

What we collect and why

When you send an enquiry we collect your name, email address, the role you select, your message, and your phone number if you choose to give it. Providing this information is voluntary, but we need your name, email address and message in order to respond.

We use what you send to reply to you, to arrange a first conversation, and to manage any follow-up that comes from it. We do not use it for marketing.

Enquiries about a child usually include information about someone other than the person writing. Where the Privacy Act 2020 requires it, we take reasonable steps to make sure that person, or someone responsible for them, is aware that we hold the information, what we are using it for, and how to ask to see or correct it.

When you visit the site, our hosting and font providers handle technical information such as your IP address and browser details in the course of delivering the page.

We also use a cookieless website analytics service to see how many people visit the site and which pages they use. It reports aggregate information only and does not set cookies. We do not run advertising or marketing trackers.

Who processes enquiries

Your enquiry may be processed by service providers that help us operate the website and deliver forms and email. These providers may process information outside New Zealand. Enquiries and replies are reviewed by a person at Sunflower Occupational Therapy Limited.

Work we go on to do together — consultation, coaching, assessment or reports — is governed by the agreement we put in place for that work, not by this page.

Storage, security and retention

Form submissions are sent over an encrypted connection. Once an enquiry reaches us it may be stored and processed using the services we use to manage communications and respond. Access is limited to people at Sunflower Occupational Therapy Limited who need it.

We keep enquiries only for as long as reasonably needed to respond, manage any follow-up, or meet lawful business requirements. We do not delete them on a fixed schedule.

Please don't send detailed health, diagnostic or other sensitive information about a child through the contact form. A short outline is enough to begin with, and we will arrange a more suitable way to discuss the details.

No website or email service can be guaranteed completely secure. Please keep that in mind when deciding what to include in a first enquiry.

Access, correction and contact

Under the Privacy Act 2020 you can ask to see the personal information we hold about you, and ask us to correct it if it is wrong.

You may also ask us to delete your enquiry. We will do so unless we have a lawful reason to keep it.
